How Accurex Pty Ltd collects, holds, uses, discloses and protects personal information across our services, website and communications.

Accurex Pty Ltd (“Accurex”, “we”, “our” or “us”) is an Australian BPO and KPO provider serving businesses in Australia and New Zealand. We are committed to handling personal information in accordance with the Privacy Act 1988 (Cth), the Australian Privacy Principles (APPs) and other applicable privacy laws.

This policy explains our usual personal information handling practices. It applies when you use our website, contact us, subscribe to communications, apply to work with us, or engage with our services. Where consent is required by law, we will seek it.

Personal information we collect and hold

Depending on how you interact with us, we may collect and hold:

  • Identity and contact details: name, work email address, telephone number, postal address and communication preferences.
  • Business and professional information: company name, role, ABN, industry, service requirements and records of our business relationship.
  • Enquiry and service information: correspondence, consultation details, proposals, contracts, invoices, transaction records and support requests.
  • Workforce information: information about applicants, employees, contractors and client personnel where relevant to recruitment, HR, payroll or service delivery.
  • Website and technical information: IP address, browser and device type, pages viewed, access times, referring pages and security or diagnostic data.
  • Marketing preferences: newsletter subscriptions, consent records, partner offer preferences and unsubscribe requests.

We may also handle personal information on behalf of a client when delivering an outsourced service. In that situation, we handle the information under the client's instructions, our contract and applicable law. Questions about information controlled by a client may need to be directed to that client.

How we collect and hold personal information

We usually collect personal information:

  • directly from you through forms, email, telephone, meetings and contracts
  • from clients, authorised representatives, referees and service providers
  • from publicly available sources where collection is lawful and appropriate
  • automatically when you use our website, including through cookies and logs.

We hold information in electronic business systems, secure cloud services and, where necessary, controlled physical records. If we receive unsolicited personal information, we assess whether we could have collected it lawfully and take reasonable steps to delete or de-identify it when it is not required.

Why we collect, use and disclose information

We may handle personal information to:

  • respond to enquiries and prepare proposals or consultations
  • provide, manage and improve our BPO, KPO and related business services
  • manage client, supplier, contractor and professional relationships
  • process invoices, payments and business transactions
  • recruit, onboard and manage our workforce
  • operate, secure, analyse and improve our website, systems and services
  • send news, business tips and marketing where permitted
  • prevent fraud, misuse and security incidents
  • meet legal, regulatory, insurance, audit and record-keeping obligations.

We use personal information for the purpose for which it was collected and for related purposes that you would reasonably expect, or as otherwise authorised or required by law.

Who we may disclose information to

Where reasonably necessary for the purposes above, we may disclose information to:

  • Accurex employees, contractors and authorised delivery teams
  • clients and their authorised representatives for service delivery
  • technology, cloud hosting, communications, analytics, payment, marketing and other operational service providers
  • professional advisers, auditors, insurers and regulators
  • government agencies, courts or law enforcement where required or authorised
  • another party with your consent or at your direction.

Service providers are engaged for defined purposes and are expected to protect the information they handle. We do not sell personal information.

Direct marketing and your choices

We may send Accurex news, business tips and service updates where you have consented or where otherwise permitted by law. We only send partner offers where you have separately opted in. We do not share your email address with partners for their own marketing without separate consent.

You can unsubscribe using the link in a marketing message or by contacting us. We will action an unsubscribe request within the period required by law and, for commercial electronic messages, within five working days. Unsubscribing from marketing does not prevent necessary service or transaction communications.

Cookies and website analytics

We may use cookies and similar technologies to operate the website, remember preferences, maintain security, understand site traffic and improve performance. You can limit cookies through your browser settings, although some website features may not function as intended.

Sensitive information

We only collect sensitive information when it is reasonably necessary for our functions and we have consent or another lawful basis. Please do not submit passwords, banking credentials, payment card details, identity documents, tax file numbers, health information or other sensitive information through general website forms or chat tools.

Security and retention

We take reasonable technical and organisational steps to protect personal information from misuse, interference, loss and unauthorised access, modification or disclosure. Measures may include access controls, staff obligations, secure systems, monitoring, backups and supplier due diligence. No internet transmission or storage method is completely secure.

We retain personal information only for as long as reasonably needed for the purpose for which it was collected, our business requirements and applicable legal or contractual obligations. When information is no longer required, we take reasonable steps to destroy or de-identify it, subject to lawful retention requirements.

Access and correction

You may ask to access personal information we hold about you or request a correction if it is inaccurate, out of date, incomplete, irrelevant or misleading. Contact our Privacy Officer using the details below. We may need to verify your identity and may refuse access or correction where the law permits; if so, we will generally explain the reason and available complaint options.

Overseas disclosures

Accurex's delivery model and technology providers may involve personal information being accessed from or disclosed outside Australia, including to authorised delivery teams in Sri Lanka and to service providers operating systems in other countries. The countries used by technology providers can vary by provider and engagement.

Before disclosing personal information overseas, we take reasonable steps appropriate to the circumstances to require recipients to protect it consistently with applicable Australian privacy requirements, subject to exceptions allowed by law.

Privacy enquiries and complaints

If you have a privacy question or believe we have not handled your personal information appropriately, please contact our Privacy Officer in writing. Include enough detail for us to understand the issue and how you would like it resolved. We will acknowledge the complaint, investigate it and aim to respond within 30 days. If more time is required, we will let you know.

If you are not satisfied with our response, you may contact the Office of the Australian Information Commissioner through the OAIC privacy complaints process.

Automated decisions

Accurex does not currently use personal information in automated decision-making that could reasonably be expected to significantly affect an individual's rights or interests. If that changes, we will update this policy and provide the information required by law.

Changes to this policy

We may update this policy to reflect changes in our practices, services or legal obligations. The current version will be published on this page with its effective date. We encourage you to review it periodically.
